Info-Code Consults Ltd is seeking to hire a Procurement Officer responsible for managing the company’s purchasing activities, ensuring that goods and services are acquired at the right quality, quantity, price, and time. The role involves identifying suppliers, obtaining quotations, negotiating prices, processing purchase orders, and ensuring timely delivery of procured items.

Key Roles and Responsibilities

  • Receive and review purchase requisitions from different departments.
  • Source and identify reliable suppliers for goods and services.
  • Request and compare quotations from different suppliers.
  • Negotiate prices, payment terms, delivery schedules, and other purchasing conditions.
  • Prepare and process purchase orders and procurement documentation.
  • Ensure all purchases are properly authorized before procurement.
  • Follow up with suppliers to ensure timely delivery of goods and services.
  • Verify the quality, quantity, and specifications of delivered items.
  • Maintain accurate and up-to-date procurement records and supplier information.
  • Develop and maintain good working relationships with suppliers.
  • Monitor supplier performance and address delivery or quality issues.
  • Support the evaluation and selection of new suppliers.
  • Ensure procurement activities comply with company policies and procedures.
  • Monitor stock levels and coordinate with relevant departments to avoid shortages.
  • Work closely with Finance and other departments to ensure proper payment processing.
  • Assist in managing contracts and agreements with suppliers.
  • Prepare regular procurement reports for management.
  • Maintain confidentiality of company procurement information and supplier pricing.
  • Identify opportunities to reduce procurement costs while maintaining quality.
  • Perform any other procurement-related duties assigned by management.

Qualifications and Experience

  • Masters in procurement and logistics is an added advantage. or a related field.
  • Professional procurement qualification such as CIPS is an added advantage.
  • At least 7 years of relevant procurement experience, preferably in a similar industry.
  • Good knowledge of procurement procedures and supplier management.
  • Experience in negotiating with suppliers and evaluating quotations.
  • Computer literacy, particularly in Microsoft Excel, Word, and procurement/accounting systems.
